Student Organization Travel

Sport Clubs need to submit a Travel Request for international travel at least 6 weeks before departure date. After approved, the Sport Club office will assist the Sport Club with registering the travel with the International Office. Consider the following requirements from the International Office when planning your trip.

  1. Check whether the country you are traveling to is on UT’s Restricted Regions list. If so, apply for and obtain approval from the International Oversight Committee (IOC).
  2. If you are not traveling to a UT Restricted Region and you have not already registered your travel in MySAO Portal, register your travel.
  3. Register your travel details and sign up for notifications in the U.S. Department of State’s Smart Traveler Enrollment Program (STEP). Additionally, log in to the International SOS web page and sign up for email alerts.

Forms for International Travel

Even if only one member is traveling, they are responsible for submitting an International Travel Request Authorization form.

Individual Students

in groups of 5 or less, if you are selected to travel on behalf of your student organization, but will not utilize any University Funding, complete the International Travel Request Authorization Form (ITRAF - Individual). For more clarification, please contact the Sport Club Office.

Group Leaders

Faculty leaders requesting travel authorization on behalf of a student group must complete the International Travel Request Authorization Form (ITRAF - Group)

Overseas Insurance

All international student travel covered by the Student Travel Policy for International Locations includes mandatory enrollment in the UT International Insurance Coverage program--Overseas Insurance. The Overseas Insurance policy applies to students:

  • participating in UT Austin sponsored or affiliated study abroad programs
  • conducting independent research abroad
  • attending international conferences
  • traveling abroad as a member of registered or sponsored student organizations
  • participating in internships organized or sponsored by UT Austin representatives

This program costs $19 per week and includes:

  • International Travel Accident & Sickness Insurance administered by ACE/Chubb Insurance.

  • International SOS (ISOS) emergency assistance coverage.
    • UT Member #11BSGC000037
  • General liability coverage

Though some students will be dually covered by a national health care program and/or a program provider insurance policy, all UT-Austin students are required to enroll in mandatory coverage through UT. The only exception is UT-Austin students studying abroad in their home country. These students may still use ISOS assistance and the general liability coverage component of Overseas Insurance if they choose. We recommend that all students retain their domestic (US-based) health insurance coverage while they are abroad in case they are forced to return to the United States before their program is over for any reason, such as a medical emergency.
