The Recruiting Team is tasked with posting and monitoring online advertisements and marketing materials. 


Craigslist

Custodial Services pays for postings on Craigslist that are specifically marketing the upcoming Hiring Events on Tuesdays and Wednesdays (subject to change). Each Monday the posting is renewed, and every Thursday, the post is edited to show the next week's hiring events (if any, and not re-posted!). If you have never used Craigslist before, please do not hesitate to visit the website to get familiar with the layout and functions.

Login Instructions

Visit www.craigslist.com. Login information is provided by the Training Manager. 

Images

Images for Marketing are kept in the Common>Recruitment - Job Postings>Advertising-Marketing>Craigslist & Flyers folder. Use the most recent Craigslist JOB EVENT publisher file to update the dates in the image. Save As a JPEG and use this file to upload into ads.

Craigslist Ad Checklist (Monday)

  • Login to Craigslist with Training Manager credentials
  • Update current posting by clicking "Repost"
  • Follow steps by updating posting text to reflect next hiring event dates, and upload JPEG of hiring event ad to images (ensure that it is uploaded before moving to the next page
  • Add billing information - see Senior Admin Associate for procard and billing address
  • Publish/submit payment
  • Take note of the Posting ID#, and print/save as PDF
  • Create Material Request Form found in Common>Recruitment - Job Postings>Advertising-Marketing>Craigslist & Flyers>Material Request Forms and Payments>Craigslist Posting Material Request Form (remember to add the date!)
  • Print completed MRF and payment receipt and submit to Senior Admin Associate, Training Manager, and Associate Director for signature
  • After all signatures have been added, scan and save to the Material Request Forms and Payments folder - Save with the date of the transaction

Craigslist Ad Checklist (Thursday)

  • Login to Craigslist with Training Manager credentials
  • Update current posting by clicking "Edit"
  • Change dates and image to reflect next weeks hiring events
  • Publish updates
  • Go to Account Home (click email at the top right corner)
  • Remove duplicate postings (only if two active postings exists, delete older one by clicking "Delete")

Responding to Craigslist Inquiries

Inquiries for information on hiring events are submitted either by email or called in by phone. When taking messages or responding to job seekers, it is important to be thorough and clear about the job openings. Practice tact and seek assistance if there are any questions that are not easily answered by a yes or no. Job seekers may inquire about previous attempts to obtain a job, so treat each job seeker in their own special way.

Craigslist Ad Response Checklist

  • Check the CS-Recruitment inbox regularly
  • Respond to each inquiry with information on the next hiring events or application instructions
  • The email text must indicate that the inquiry came from a job seeker who visited Craigslist
  • CC the Recruitment Team (Elizabeth Saavedra, Denise Schmidt and Admin Associate)
  • Email subject is "UT Custodial Hiring Events"
  • Use email provided or use the Craigslist generated email located in their inquiry email
  • Update the Craigslist and Snagajob Posting Responses excel spreadsheet with job seeker information
  • Call applicant during designated time and let them know you are following up on an email you sent

Snagajob (currently not in use- Fall 2017)

Snagajob is a recruitment tool which enables employers to post jobs and allows users to apply or express interest. The posting is not updated by Custodial Admin, however all inquiries must be responded to within a reasonable timeframe.

  • Check the CS-Recruitment inbox regularly
  • Respond to each inquiry with information on the next hiring events
  • The email text must indicate that the inquiry came from a job seeker who applied through Snagajob

  • Update the Craigslist and Snagajob Posting Responses excel spreadsheet with job seeker information

Work In Texas (Workforce Solutions) - currently not in use Fall 2017

Work in Texas is a recruitment tool which enables employers to post jobs and allows users to apply or express interest. The posting is kept up by Custodial Admin, with each new posting corresponding to the closing/opening of job posting on HRMS.

Work In Texas Ad Response Checklist

  • Login information: utexas.recruit, utexas.recruit1
  • Send Workforce Solutions a JPG image with the Work In Texas posting information (files located in Common>Recruitment - Job Postings>Advertising-Marketing>Craigslist & Flyers folder). Use the most recent Craigslist JOB EVENT WIT publisher file to update the dates in the image. Save As a JPEG and use this file to send to WFS, this is uploaded into their job postings television.
  • Advise Admin Associate and Night Shift Manager to review selected applications
  • Send selected job seekers application instructions upon confirming their interest in proceeding with the application
  • Once applied on HRMS job posting, request an interview upon authorization from Managers

Link Rotation

When a new job posting for Building Attendant II - Night Shift is added, the application hyperlink on the Custodial Services website must be rotated.

  • Visit www.pageswirl.com
  • Obtain login credentials from Training Manager
  • Skip ads by clicking "Just take me directly to the members page"
  • On the top left, click "Edit Website Rotator"
  • Update Rotator Site  by clicking "Edit" under the "Action" box
  • Update the URL by adding the page address for the BA II job posting on HRMS (e.g. https://utdirect.utexas.edu/apps/hr/jobs/nlogon/170720016225)
  • Ensure that link has been updated by testing it (Test Site does not work - test link by visiting the Custodial Services website)
