Scheduling a Meeting

We suggest scheduling meetings via the web site. You can find your meetings and schedule new ones by clicking "My Meetings" on the menu on the left.

You will want to make sure that the following settings are setup correctly in your scheduled meeting.

"On" for both Host and ParticipantThis just enables the use of video for the meeting. Attendees can still elect to mute their video.

Enabling telephone for audio provides a way for participants who lack internet, or have poor internet, to dial in with a regular phone.

Note

Providing dial in with toll-free numbers requires the meeting be hosted by a Pro User.

Meeting OptionsCheck "Enable join before host"This will allow your participants to join the meeting before you do. Otherwise, they will get a message that the meeting has not begun.



Inviting Participants

After saving the new scheduled meeting,

the window will refresh and will then present you with your "Meeting ID" and the "Join URL".

At minimum, all you need to do to invite people to the meeting is copy the Join URL and share it.

To craft a better invitation, To invite Participants to your meeting click the "Copy the Invitation" button to the side of the " Join URL" (on the page that auto-populated immediately after hitting "Save" from the steps above)

  • After you click the Copy Meeting Invitation it will show a pop-up with the invitation to be copied with a "Copy Meeting Invitation" button 
  • You will insert the copied information in an separate email to send to the participants.

  • If you hit the Enter key after the URL it will make the URL clickable for the invited participants.

Invited Participants

  • The participants will click the link they received in the email to join the Zoom meeting.

. Copy the text in the window that appears and send that in an email to your invitees.
