Email on Mobile Devices

Please Note: Because mobile devices are not part of the McCombs School of Business Common Operating Environment, we cannot provide you with full technical support for this configuration. These instructions are provided as a courtesy, but we are unable to help troubleshoot issues. Please do not contact McCombs Computer Services for assistance with mobile devices.

Active Sync 4.2

Mobile devices now require Active Sync 4.2 or later in order to connect to the McCombs Microsoft Exchange Server. Some phones allow you to view Outlook Web Access.

Invalid Certificate

If your phone gives you a message saying something about the certificate not being valid, read our Updating certificates article.

iPhone/iPad

  1. On the menu screen, select the Mail icon.
  2. Select Microsoft Exchange.
  3. Enter your full McCombs address in the Email Address field.
  4. In the Username field, enter mccombs\your username.
    Hint: To access the backslash () select the 123 button, then select the #+= button. The backslash will be on the next screen.
  5. In the Password field, enter your McCombs password.
  6. Enter a description in the Description field if desired.
  7. Select Next.
  8. Your iPhone will try to verify your account, but it will not complete the process. It may take a few minutes.
  9. In the Server field, enter mail.mccombs.utexas.edu
  10. Select Next.
  11. You will receive a message that your exchange account is verified.
  12. You will see what is being synced with the exchange server. By default it will be your mail folders and your calendar. You can select to sync your Contacts if you want to.
  13. Select the Save button
  14. You will receive a message saying that your iPhone was unable to verify a certificate.
  15. Click Accept. If you receive the same message again, click Accept again.

You should now be able to see your inbox.

By default, your iPhone will show you the last three days of email. You can change this setting to show you email for up to a month.

Smartphone 2003

Set up a pass through connection:

  1. From the Start menu, click Settings.
  2. Under Settings, click Data Connections.
  3. Click the arrow under Internet connection to select Pass through connection from the list of options.
  4. Click Done.

Enable ActiveSync Synchronization:

  1. Start the ActiveSync program on your phone.
  2. Click Menu and then click Options.
  3. Click Server Settings and then click Connection.
  4. Complete the following information:
    Username: msb account
    Password: your McCombs password
    Domain: McCombs
    Click to select Save Password
    Server name: mail.mccombs.utexas.edu
  5. Click to select This server requires an SSL connection.
  6. Enter the complete address used to send a text message to your phone. For instance, with AT&T Wireless, this address is <10digitphonenumber>@mobile.att.net.
  7. Click Done.
  8. Click Calendar.
  9. Click to select Sync Calendar with a server and then click Done.
  10. Read the warning about duplicate calendar items.
  11. Click Yes*to delete all calendar items currently on the phone or *No to handle any duplicates yourself.
  12. Click Done.
  13. Click Sync. It may take several minutes for the first synchronization.
  14. If there are no error messages, the setup is complete. You can go to the*Options*menu and select Schedule to set your phone to automatically sync with the exchange server at a specific interval.

Cingular 2125 WM5

  1. Click Start, go to ActiveSync, select Outlook Email.
  2. Click Menu, select Configure Server.
  3. For Server Address, type mail.mccombs.utexas.edu. Check the box for SSL. Click Next.
  4. Type your login name (for students, MSB number) and password in those fields. Type mccombs for domain. Click Next.
  5. Choose which of the four options you want to synchronize. Click Finish.

To choose which mailbox folders synchronize (default is your inbox only), click Start, go to Messaging, click Menu, select Folders, click Menu, select Manage Folders.

Motorola MPX 220

  1. Click Start, go to ActiveSync.
  2. Click Menu, go to Options, select Server Settings, then Connection.
  3. Type your user name (for students, MSB number) and password in those fields. Type mccombs for domain.
  4. For Server Address, type mail.mccombs.utexas.edu. Check the box for SSL.
  5. Text Message Address will vary by provider, but for Cingular it is wirelessnumber@cingularme.com. Click Done.
  6. Click Done. Click Mobile Schedule. Set Peak time sync ,Off-peak timesync, Roaming sync and Sync outgoing items as they are sent as appropriate.
    DO NOT select “When new items arrive” unless you have free incoming text messages. Each time mail arrives, a text message will be sent to your phone, resulting in a phone bill that is potentially hundreds of dollars!!

Nokia E62

  1. Download the latest version of Mail for Exchange at http://www.businesssoftware.nokia.com/mail_for_exchange_downloads.php. See documentation on that page for assistance with installing the latest version. It is important to turn the phone off and back on between uninstalling the old version and installing the new version.
  2. Manually sync your phone while it is cabled to your computer.

Treo 650 SmartPhone

Configure ActiveSync:

  1. Press the Home button (located just below the screen on the left side).
  2. Select and open VersaMail. You may be prompted to do initial setup. If so, click Continue.
  3. Press the Menu button (located just below the screen on the right side).
  4. Select Accounts.
  5. From the Accounts menu, select Account Setup.
  6. Do one of the following:
    • Select the existing account (probably named VersaMail) and click Edit, or
    • Click New if there is no existing account to create another account.
  7. In the Account Name field, enter a name for the account. This can be any name you like.
  8. From the Mail Service drop-down menu, select Exchange ActiveSync.
  9. Click Next.
  10. Enter your MSB account in the form mccombs\msbaccount. If you are faculty/staff, this would be your last name + first initial. If you are student, it will be msb____, e.g., msbba001.
  11. If you are not prompted to enter the password, click on the Password field on the display.
  12. In the New Password field, enter your password. Caution: The characters will be visible on the screen.
  13. Click OK to close the New Password field.
  14. Click Next.
  15. Enter your complete McCombs e-mail address. You may have to highlight and delete some characters that appear there automatically.
  16. Substitute your MSB account for username.
  17. In the Mail Server field, enter mail.mccombs.utexas.edu. Click Next.
  18. Click Done.
  19. When you see the notice about the local e-mail and calendar being replaced by the one on our Exchange server, click Yes to replace the local copies.
  20. If the application does not automatically exit from Account Setup, click OK to exit. You have now completed the configuration process. You may see a brief completion message. Your new mailbox displays.
  21. Click Sync to synchronize your e-mail and calendar. If you have a lot of mail, this process could take some time.
  22. If you are prompted about whether to connect to the Internet, click Yes.
  23. The messages from your mailbox display on your screen.
  24. You can now click New to send a new message or click Display if you want to change the appearance of the screen.

Configure AutoSync:
To configure VersaMail to synchronize your e-mail and calendar automatically on a regular schedule, do the following:

  1. While VersaMail is open, press the Menu button.
  2. Select Options, then select Preferences.
  3. Select Auto Sync.
  4. Select the Sync Automatically option.
  5. Use the navigation arrows to select the field you want to change (Frequency, Start Time, End Time, and Days) and click the center button. (You can also use the stylus to select these fields.)
  6. Use the drop-down menu by Every to select a frequency in hours and minutes.
  7. For the Start Time and End Time fields, use the arrows to scroll up and down to the time you want and select, AM or PM. When the settings are correct, click OK.
  8. In the Days field, select days of the week on which you want to check mail. 
  9. Click OK.
  10. Click Get Mail to synchronize your e-mail and calendar now.
  11. ClickOK.

Blackberry

Faculty
Faculty members can access their McCombs email through a BlackBerry Enterprise Server. Click here for more information.

Students

The McCombs School does not support a Blackberry Enterprise Server for students. However, you may still be able to access your McCombs email on a Blackberry. Follow the instructions below.

Here’s how to enable the Blackberry Internet Service (BIS) email service on your AT&T blackberry (the field settings should be the same on any other carrier with the only difference being the access to the BIS service page).

  1. First, head here to log into your AT&T account with your own username and password. (Here is the link for T-Mobile, and Verizon’s link.)
  2. Once the BIS window is open, it should list your configured email accounts (if any). You’ll need to click Set Up Account
  3. Enter your email address and password, and then click next. This should start the system searching for your email settings, but it won’t be able to find anything (this is good). From there you should click the box that says I will provide the settings to add this email account
  4. Select This is my work email account and then Next
  5. Choose the bottom radio button which says, I can access my email account using a Web browser (OWA)
  6. Now is the last, and most important step. The settings for your mailbox must be input exactly as described:

Outlook Web Access URL: https://mail.mccombs.utexas.edu
User Name: mccombs\msb___ (your MSB account)
If using Verizon, the username is only your MSB account
Password: __________ (your MSB password)
Email address: _______________ (your McCombs email address)
Mailbox name: ___________ (LEAVE THIS BLANK)
It should look like this:

Click “Next” and your account should be successfully configured with the Blackberry Internet Service.

Optional:

To edit your footer or change your display name you must now click “Edit” on the main menu and save changes.
Besides removing the need for the redirector software, this fix now lets users view attachments--a nice upgrade from before.

Cingular 3125

  1. Click Start, go to ActiveSync.
  2. Click Menu, go to Configure Server.
  3. For Server Address, type mail.mccombs.utexas.edu. Check the box for SSL.
  4. Type your user name (for students, MSB number) and password in those fields. Type mccombs for domain.
  5. Click Next, choose the data you want to synchronize, then click Finish.
