There are three methods for printing and/or storing print jobs on a Ricoh Multi Function Device (MFD) - Locked Print, Stored Print, and Document Server.  These can all be secured with a PIN and all of these methods can be selected and setup in the “Printing Preferences” of the printer.  This can either be done at print time, in the print window or can be set as a permanent setting by adjusting the settings of the local printer driver located in your “Devices and Printers”.  Below is a description of each method.

Locked Print: For suspending printed jobs in the locked print queue until the authorized user enters the correct PIN.  Jobs are deleted after printing.

Stored Print:  Used to store print jobs on the MFD for printing later or multiple times.  Jobs are not deleted and can be secured with a PIN, so that only authorized users can print them.

Document Server:  For storing documents on the MFD which can be edited, printed, or copied (using copy features) later.  Documents stored on document server can be stored with a PIN, so that only authorized users can edit or print them.

To setup Locked Print on your computer for all future print jobs on a selected printer, follow the instructions below.

  1. After adding your preferred printer, go to Start\Devices and Printers
  2. Right click on your printer and choose “Printing Preferences” from the fly-out menu
  3. Select  the “Setup” tab and click the “Job Type” drop down
  4. Select  “Locked Print” from the menu
  5. Click the “Details” button and type in a user ID of choice and a 4-8 digit PIN

To print out your locked job from the printer after sending it from your computer, follow the instructions below.

  1. Go to selected printer and press the printer button on the left side of the printer console
  2. On the touch screen, touch “Print Jobs”
  3. Find your job (by user ID) in the list, touch it to highlight it, and then touch the “Print” button
  4. At the password prompt, key in your PIN using the keypad on the right of the console, then touch “OK”
  5. Touch “OK” at the verification prompt.  At this point the job will print out.

To use Locked Print on a one-off basis, follow the same instructions above, except make these changes within the print window at print time.

To setup Stored Print or Document Server, follow these same instructions, with the exception of choosing these methods in the “Job Type” of the “Printing Preferences”.
