You have been given access to a UTBox folder containing your program of work.

It is your responsibility to keep your program of work updated.  Because we are not allowed to email grades through email, you'll need to do this each semester and upload to UTBox (deleting the old version).  Update each semester, or it will become cumbersome down the line.  Also, keeping it updated each semester will provide your faculty adviser the information needed for advising before each registration session.

There are key times when you will need to give access to faculty:

  1. If your faculty adviser changes, you will need to give access to your new adviser.  
  2. Give access to your qualifying process committee members as soon as you find out who they are.  Your program of work will be used by your committee members, and as a resource for the GSC members during the evaluation meeting for your eligibility for advancement to candidacy. 
  3. Prior to filing for candidacy at the departmental level, email the GSC Chair (currently, Toni Falbo) and give her access to your program of work.  You will also give access to your dissertation supervisor (and perhaps your committee members) so they can review your program of work before approving your candidacy.  It is a Graduate School requirement that the GSC Chair have access to your program of work prior to approving your online application for candidacy.
  4. Prior to your final oral, email the GSC Chair that you are preparing to hold your final oral, give her access to your program of work (she may have deleted the folder after approving your application for candidacy), and let her know that your program of work has been updated for her review (this is a Graduate School requirement so she can sign your gold form after your final oral).

Note 1:  Any approved waiver forms must also be uploaded to your UTBox program of work folder before completing the corresponding requirement section on your program of work.

Note 2:  Unless you sync your UTBox folders to your computer, you will have to save a separate copy of your program of work on your computer.  UTBox files are not backed up.
