When you create a meeting request in Outlook, you can view the free/busy time on the calendars of other people on the McCombs Exchange Server. Free/busy time refers to the time on the person's calendar marked as busy, or marked as free.

Outlook 2003

After you have created a meeting request and added someone to the Required: line or Resources: lines, click on the Scheduling tab to view free/busy time. 

Outlook 2010 & Outlook 2007

After you have created a meeting request and added someone to the To: field, click the Scheduling Assistant button on the Meeting tab on the ribbon to view free/busy time.

Troubleshooting Free/Busy Time

Occasionally you will be unable to see the free/busy time for someone when you make a meeting request. It may be because the person has chosen not to publish their free/busy time (they choose not to let people see it through meeting requests). However, sometimes people are unable to see the free/busy time of people who do publish their free busy time. if this happens to you, try this:

  1. Go to the Start menu and click on Run.
  2. In the box that opens, type outlook.exe /cleanfreebusy (be sure to put a space before the slash).
  3. Click OK.
  4. Outlook will open. If you get a message asking if you want to Connect or Work Offline, click Connect.
