Hello,
As many of you know, the University Writing Center (UWC) transferred all graduate student services online in response to the COVID crisis.   We hope you’ll see us for writing support this summer and we’ll be conducting consultations M-Th 10-5.  We will also be offering weekly writing groups, monthly writing retreats, and workshops to help graduate students stay on track towards the completion of their thesis or dissertation.

Students can make an appointment through Symplicity or contact us through Chat for scheduling assistance.  If they have specific questions when we are not open, they can use our Handouts, which provide guidance on frequently asked questions.

Best,

Kristin Gilger, Ph.D

*A sample of Exit Poll Comments since shifting services online:

  • I think access to the meeting was super easy despite everything being online now.
  • I loved the collaborative nature—[my consultant) was extremely helpful and made it easy to get ideas sparked.
  • I really liked her advice on color coding paragraphs/sentences by topic to help with organization. I liked that she stayed on the call to help me with that process, as that could have been something she could have told me to do on my own time.
  • This appointment was great for helping me revise my rough draft. I know what I need to do on my own to finish it…. [My consultant] was awesome and kind, while still providing good constructive feedback.

Subject: Academic policies and deadlines - update
Importance: High

Hello Graduate Students,

Please note these temporary policy changes apply to Spring 2020 ONLY.

Summer and Fall Registration

President Fenves announced on April 1 that summer/fall registration has been moved to April 27 - May 8.  The course schedules will be published on April 8.

Programs of Work - Courses Taken in Spring 2020

The CAEE graduate program will approve CR courses taken during the spring 2020 semester toward the MS and PhD degrees, including both core and elective requirements.

The Graduate School has approved the use of additional CR credits earned in the spring 2020 semester toward the master's program of work.  More information on the master's degree program of work can be found on the Graduate School's COVID FAQ page

CR courses taken during the spring 2020 semester will excluded from the Graduate School’s calculation of the 20 percent limit on a graduate student’s program of work, as long as the total (including spring 2020 classes) does not exceed 50 percent at the time of graduation.

The deadline to apply to graduate remains the same: April 17, by 3:00 pm

The deadline to submit a Thesis, Dissertation or Report remains the same: May 8, by 3:00 pm

Add/ Drop, Change of Grade Status

Please contact Kathy McWilliams for a form if you need to drop a course or change a class to CR/NC.  The final decision date to select the CR/NC option is 29 May 2020.  Because this is after the spring semester and final exam period ends, you will know your letter grade before having to make your final decision on P/F or CR/NC.  Although you will not be able to change your decision after 29 May, you can change your selection as many times as you wish before that deadline.

The Q-drop period has been extended to the last class day – May 8.

Employees, fellowship holders and international students may be required to maintain 9 hours/ full time status.  Please consider this before dropping.

Qualifying Exams and Dissertation proposals

Students should plan for virtual exams and committee meetings. President Fenves announced on April 1 that all summer courses would be delivered in an online format and this includes exams and committee meetings.

Dissertation Defense/Final Oral Exam

All students who intend to defend before the end of summer 2020 should plan for a virtual defense.

Paperwork: The Report of Dissertation Committee must be signed by your committee members and the GSC Representative (Dr. Maria Juenger or Kathy McWilliams) and submitted to GradStudentSvcs@austin.utexas.edu.  The Graduate School strongly prefers that all signatures are on one page, but will accept multiple pages if needed.  Note that the Graduate School's submission deadline for spring 2020 has not changed. Upload your dissertation to the Texas Digital Library and submit all final paperwork by 3 PM on May 8

________

Students who miss the May 8 deadline for submitting final materials may register in absentia for the summer semester if they can submit materials by June 3. The cost of in absentia registration is $25.

Do not publicize your defense Zoom link on Twitter or on the web. Zoom links must be shared in a controlled manner.

IMPORTANT: By default, all Zoom meetings now require UT authentication to join. If you have non-UT Austin users who want to join your defense meeting, you must change the settings on a per-meeting basis. Non-UT affiliates will not be able to access your meeting if you skip this step. In the desktop app, go to Advanced Options and select 'Only Authenticated Users Can Join: Sign in too Zoom.' This means that all participants (whether UT affiliated or not) need to have a Zoom account before trying to access your meeting. This will be explained in the defense invitation if you opt for a public defense. If you are holding a closed defense, please ensure your committee members know to create a Zoom account ahead of time. Non-UT committee members can create a free Zoom account at https://zoom.us/signup. UT affiliates can create a Zoom account at https://utexas.zoom.us.

Will your defense be open or closed? The Graduate School is not mandating public defenses during this time. It is the student's decision to hold a public or closed defense.

·

·       Closed Defense

§  You are responsible to create a Zoom meeting and distribute the details to your committee.

§  We recommend using a password to prevent "zoombombing."

§  You may also send the link to lab mates, family members or others who wish to join even if you choose a closed defense.

§  We recommend designating at least one other person as an alternate host to serve as the room moderator to attend to technical issues and let people in from the waiting room. All guests (or non-UT Zoom users) will automatically be placed in the waiting room.

§  Practice! Take some time before the date of your proposal to practice using the software with other people.

·       Public Defense:

§  You are responsible to create a Zoom meeting and distribute the details to your committee and the Graduate Coordinator.

§  We recommend using a password to prevent "zoombombing."

§  We recommend designating at least two other people as alternate hosts to serve as room moderators to attend to technical issues and let people in from the waiting room. All guests (or non-UT users) will automatically be placed in the waiting room. Having trouble adding your alternate host? Try using EID@eid.utexas.edu (e.g., abc123@eid.utexas.edu) with the person's actual EID. Look up EIDs using the UT Directory

§  The Graduate Coordinator will create an RSVP survey in Qualtrics, the link to which will be distributed via the regular defense notice to the full Graduate Studies Committee and BME graduate student list serv. The notice will go out about one week prior to your defense. You will be given collaborator access to the survey so you have access to the RSVPs.

§  Within 24 hours before your defense, the Graduate Coordinator will forward the Zoom link and password to everyone who submitted an RSVP.

§  When you begin your defense, consider taking a minute to speak to the technology and your expectations (e.g., ask everyone except your committee members to disable video if it is a large group).

§  Practice! Take some time before the date of your proposal to practice using the software with other people.

Subject: FW: Building Access Changes for Graduate Students Are Being Implemented - Please Read and Share

To all Cockrell School of Engineering Graduate Students:

The President has requested that all building access be done through the celebrated entrance to each building.  Faculty and staff will continue to have access.  The same is true for postdocs and scientists.  Centrally – within ITS - all graduate students are having their building access removed.  This process is going alphabetically and will complete around 5am Monday morning.  Graduate TA’s and AI’s, plus the students on ‘special’ lists that are being prepared, will have their access restored.  This is happening in rolling fashion.  As soon as the Vice President for Research (VPR) gets and provides the ‘special’ lists ITS, the restorations will proceed alphabetically, following behind the removals.  Lack of access should only be a few hours.  The campus expects we should be back in the right/stable configuration by early Monday.

Students with restored access should have the same access they had before the removal.

Who is to get restored access beyond graduate TA’s, and graduate AI’s?

Graduate students who are working on VPR approved exempt research projects submitted through the Info Ready portal – the faculty know who they are.

Graduate students who have been designated as laboratory well-check individuals.

Subject: Obtaining Signatures & Submitting Materials to the Graduate School During Social Distancing

Dear Graduate Advisers & Coordinators:

In response to the university’s social distancing policy for COVID-19, the Graduate School will be changing its processes for submitting routine paperwork for the spring semester. All communication should be via email, phone or online.

As a reminder, the Graduate School accepts digital or scanned signatures on ALL graduate school forms. Please encourage your students to collect signatures digitally. During the next few weeks, all Graduate School forms should be emailed to the following central address for processing:

GradStudentSvcs@austin.utexas.edu

Instructions for how to submit these forms are available on our website (see the Graduate School homepage). Please include EIDs in all correspondence.

Current conditions will require greater flexibility in accommodating a Ph.D. student’s final defense. The Graduate School does not distinguish between physical attendance or electronic/virtual attendance. Given the university’s current policy on meetings of two or more individuals, final defenses should be conducted remotely if at all possible.

Students and their committee members should consult in advance to identify an acceptable format. This may include individual communication between student and committee member, rather than the conventional single defense presentation to the entire committee.

Regardless of format of the final defense, the Graduate School will consider a student to have passed when committee members have indicated their approval by the signing the Report of Dissertation Committee. This verifies that they have read and reviewed the final dissertation to determine that it is an independent investigation and constitutes an original contribution to knowledge.

During this period, the Graduate School will be suspending initial format checks on reports/theses/dissertations. Please encourage your students to make every attempt to ensure that their report/thesis/dissertation complies with university format guidelines. Small variations from those guidelines will not delay completion of degree requirements.

We will also be working to accommodate students who miss certain deadlines because of self-isolation or health-related reasons. At this time, the university has stated the semester will end as scheduled, and our submission deadline remains May 8. For students who cannot make this deadline due to the current situation, we will make use of in-absentia where possible.

Sincerely,

  1. To move the placed signature or initial, click the field to highlight it and then use the arrow keys. To resize or delete the field, use the options in field toolbar.

Note:

If you want to use an image as your signature:

  • Sign your name in black ink on a clean, blank sheet of white paper. Sign in the middle of the paper so you don't photograph or scan the edges.
  • Photograph or scan your signature. If you are taking a picture of your signature, make sure that the page is lit and that no shadows fall across the signature.
  • Transfer the photo or scan to your computer. Acrobat/Reader accepts JPG, JPEG, PNG, GIF, TIFF, TIF, and BMP files. You do not need to crop the image. Acrobat/Reader imports just the signature if the photo or scan is fairly clean.

Subject: CAEE COVID-19 Response

Dear Graduate Students,

The CAEE department will be taking several measures over the next few months to minimize the spread of COVID-19.  Here is what you can expect:

  1. Most class instruction will be conducted online.  The department will have access to Zoom and it will be embedded within Canvas.
  2. Some lab courses will need to meet in person.  More information about which labs plan to meet in person will be sent out in the coming weeks.
  3. Faculty will likely conduct virtual office hours.  Please be patient as your instructors arrange for this and look for further communication in the coming weeks.
  4. We will conduct registration advising after Spring Break.  More detailed information will be sent out soon but we will continue to use Box for the advising forms.
  5. Please be mindful and maintain social distance (at least 6 feet of separation) in all activities, especially during in-person meetings.
  6. Make sure you are being vigilant about hygiene and following the prevention measures outlined here: https://healthyhorns.utexas.edu/coronavirus.html#prevention

For information about research activities, please scroll down to the email below from the Vice President for Research.

This is a constantly changing situation, but we will do our best to guide you through and help answer your questions. Please let us know if you have any questions by contacting caee.grad@engr.utexas.edu or Kathy McWilliams at mcwilliams@utexas.edu.

Dear Research PIs:

This memo provides advice and links to resources dedicated to research.  The University currently intends to remain open and to permit all research activities to continue.  We will send out announcements about any research-relevant activity restrictions.

The latest general UT information about the COVID-19 outbreak includes research-relevant information about sponsored travel and other activities. It is available here:

https://www.utexas.edu/coronavirus

Given the fast-moving situation, we have a dedicated COVID-19 research FAQ page that we can update regularly.  You can access it here:

https://research.utexas.edu/covid-19-research-faq/

The FAQ page has a link to a curated Sponsored Projects links and FAQ page that will address questions about grant submission, grant management, and research activity. The page also includes links to pages with FAQs and general guidance about human subjects research from ORSC and the IRB and about animal research from the IACUC and ARC.

Guidance for researchers:

  1. Have a communications plan in place for your group.  Make sure that all group members know how to reach each other, both on campus and off.
  2. Have a continuity plan.  Discuss with your group how you will be able to maintain research activities if some of you are ill or are unable to come to work.
  3. Make sure everyone has access to resources needed for remote work:  Can everyone in your group remotely access any materials they need to continue their work?  This includes having permissions for and knowing how to access firewalled journals and scholarly collection through UT Libraries and access to the data repositories and datasets and software tools that they would normally be able to access on campus.
  4. Make sure that your group all has the software tools and network access to permit long-distance group meetings (test it!).
  5. Arrange work to anticipate the possibility of additional restrictions in the future:  Where possible, carry out lab experiments now and stockpile data for later analysis.  Freeze or otherwise preserve samples at intermediate stages in case of interruption.

We want to be able to provide the best available knowledge to the whole research community.  If you have questions, please submit them to vp-research-sr@austin.utexas.edu with the Subject line “FAQ”.  We will answer you directly and share your question and answer with the community.

Sincerely,

Vice President for Research

Importance: High

Hello,

Several students have asked about electronic signatures for forms, please find attached examples and the Format Guidelines from the Graduate School.  All signatures must be on the same page.

From Format Guidelines:

Scanned or electronic signatures will be accepted as long as the faculty members’ names are legible and dark enough to be imaged. Typed names as a signature are not allowed. Electronic and digitally authorized signatures may be accepted in any font format so long as they include the insignia or logo of the e-signature software used showing authorization. I also attach a screen shot of a general electronic signature which cannot be used by the Graduate School since it does not contain a name.  (See examples attached)

Subject: City Internships | New Year Update

As expected, admissions for Programs in Toronto, Melbourne, Medellin, Santiago, Tokyo, Bangkok, Hong Kong and Shanghai are now closed.

Our remaining Summer Programs are still filling very fast, and I would encourage any of your interested students to apply now to avoid disappointment.

There is still availability across our other locations of London, New York, Los Angeles, Chicago, Boston, Washington D.C., Miami, Dublin, Paris, Barcelona and Madrid. We expect to close admissions to non-UK and non-US Programs by the end of the month, however I will provide an update confirming that in due course.

Programs are open to students from any year and with any major, and they may choose a placement in one of 9 career fields: Banking & Financial services; Consulting & Professional services; Law & Politics; Technology & Engineering; Marketing, Advertising & PR; Media, Entertainment & Journalism; Art, Fashion & Design; Start-ups & Entrepreneurship; Charities, NFPs & NGOs.

Our Student Aid fund has been allocated to students far quicker this year than last, and we will have to re-evaluate the size of contributions in the next week or two. If your students are aiming to rely on Student Aid for a CI Program, I would strongly encourage them to apply before the end of this week - they can do so here: https://city-internships.com/calculator

Currently, students are still eligible for upto $3,263 towards a Program of their choice, with the average award exceeding $1,600. All students are entitled to receive something as it stands.

Our 2020 Prospectus is still available here. It provides an excellent overview of this year's Programs, but if you have any further questions, please do let me know. There is also a noticeboard flyer available here.

Once again, thank you for taking the time to read and share this email - please let me know if there are any questions I can answer.

Subject: Graduate Research Opportunities at DOE National Laboratories

Subject: The DOE Office of Science Graduate Student Research (SCGSR) program is now accepting applications!

Dear Colleagues,

The Department of Energy’s (DOE) Office of Science is pleased to announce that the Office of Science Graduate Student Research (SCGSR) program is now accepting applications for the 2020 Solicitation 1.  Applications are due 5:00pm Eastern Time on Wednesday, May 6, 2020.

We would like to bring to your attention 4 new transdisciplinary research areas for encouraging graduate training activities at the convergence of multiple disciplines and communities, including Microelectronics, Data Science, Fundamental Symmetries, and Accelerator Science. We strongly encourage applications in these areas.  Detailed information about the program, including eligibility requirements and access to the online application system, can be found at: https://science.osti.gov/wdts/scgsr/.

The SCGSR program supports supplemental awards to outstanding U.S. graduate students to conduct part of their graduate thesis research at a DOE national laboratory/facility in collaboration with a DOE laboratory scientist for a period of 3 to 12 consecutive months—with the goal of preparing graduate students for scientific and technical careers critically important to the DOE Office of Science mission.

The SCGSR program is open to current Ph.D. students in qualified graduate programs at accredited U.S. academic institutions, who are conducting their graduate thesis research in targeted areas of importance to the DOE Office of Science. The research opportunity is expected to advance the graduate students’ overall doctoral thesis/dissertation while providing access to the expertise, resources, and capabilities available at the host DOE laboratories/facilities. The supplemental award provides for additional, incremental costs for living and travel expenses directly associated with conducting the SCGSR research project at the DOE host laboratory/facility during the award period.

The Office of Science expects to make approximately 95 awards in 2020 Solicitation 1 cycle, for project periods beginning anytime between November 9, 2020 and March 1, 2021.

Since its inception in 2014, the SCGSR program has provided support to over 520 graduate awardees from 137 different U.S. universities to conduct thesis research at 18 DOE national laboratories/facilities across the nation.

The SCGSR program is sponsored and managed by the DOE Office of Science’s Office of Workforce Development for Teachers and Scientists (WDTS), in collaboration with the six Office of Science research programs offices and the DOE national laboratories/facilities, and program administration support is provided by the Oak Ridge Institute for Science and Education (ORISE).

For any questions, please contact the SCGSR Program Manager, Dr. Ping Ge, at sc.scgsr@science.doe.gov.

Subject: GEC Academic Seminar: Engineering Your PhD --

We are pleased to announce the first GEC academic seminar of the semester, Engineering Your PhD by Dr. Corwin Olson. It will occur on Wednesday, February 19th at 4 pm in ETC 3.108. Dr. Corwin Olson will speak on ways to make the process of acquiring a PhD in engineering much easier! Free Torchy's Tacos will be served.

Title: Engineering Your PhD

Abstract:
Getting a graduate degree in engineering is full of challenges: obtaining funding, taking graduate courses, passing one or more make-or-break qualifying exams, presenting at conferences, writing multiple (accepted!) peer-reviewed journal articles, and finally writing and defending your dissertation, just to name a few! Feel those wonderful stress hormones flowing?

So how do you navigate all these obstacles? Listen to your elders! Well, at least collect some actionable advice from someone that managed to successfully slog through the entirety of a challenging engineering PhD program. I like to think I'm not too elderly yet.

Some other topics we'll cover: establishing good work habits, how to find good research topics, research tools and implementation tips, and how to "manage up" your advisor. And yes, your advisor will love being managed.

About the speaker:
Corwin Olson is a Research Associate at the University of Texas at Austin and the author of several journal articles in the fields of astrodynamics and spacecraft navigation. He received his Bachelor's, Master’s, and PhD in Aerospace Engineering from the University of Texas at Austin, and was a NASA Space Technology Research Fellow during his PhD program. He performed navigation and mission design analysis for the NASA Magnetospheric Multi-Scale mission, and trained numerous NASA astronauts while working in the Training Division of NASA's Johnson Space Center. He can be reached at CorwinOlson.com.

Subject: Amazon and Cloud Computing Training Sessions

Dear Researchers,

Last spring, we surveyed researchers on campus to understand their most desired research computing services. One of the top desires of researchers was increased cloud computing training and opportunities. As you know, Amazon Web Services is a top supplier of cloud and computing services. In conjunction with Amazon, we will hold two special training sessions from 9:00-10:00 a.m. March 2 and March 9 in POB 2.402. At our first session, we will cover the cloud services options available, the trainings offered, and provide a glimpse into research currently being conducted within the Amazon cloud. At our second session, we will work with researchers to understand what research is appropriate for the cloud, cloud computing basics, and getting started in the cloud.

We are happy to announce that Amazon is offering our researchers the opportunity to compete for seed funding for select projects. We will provide more information about how to apply for funding at both sessions.

Please join us and please bring a researcher or two from your school or college who is ready to embark on a cloud research project. Note that the first session is appropriate for Deans and Researchers and the second is a more in-depth practical session where specific research questions will be suitable. So that we ensure enough seats and refreshments, please RSVP to The March 2 Amazon and Cloud Computing Overview  and/or the March 9 Amazon and Cloud Computing Details events by February 24.

We look forward to seeing you in March!

Civil Engineering (136) is the most popular major in engineering for the employers at Spring Expo. The problem I foresee is that employers want to see as many students as possible from your department.

Would you mind sending a message to your students to encourage them to attend? Here are details you could share:
