Process in which a Compliance report (Excel Spreadsheet) is retrieved from the UTLearn Training Standard Reports system. Performed bi-monthly.



Summary: Admin locates 4 Core Compliance Courses, runs progress summary for each course, consolidates data into one spreadsheet, and sends reports by email to Training Manager and Senior Data Analyst 

Navigating to Reports on UTLearn

  1. Visit UTLearn LMS.


  2. On the homepage, hover over "Reports" - click "Standard Reports" in the drop-down.

  3. In the new Reports screen, click "Training." 

  4. Near the bottom right of the screen (scroll-down) look for and click on "Training Progress Summary Pie Chart."

Entering Search Criteria

 

  1. In the new screen, you are now prompted to enter several Criteria for the course you are looking for. First step is to enter the Date Criteria.

    Select (left as-is) + From: (blank) + To: (Today's Date)

  2. In "User Criteria," select "Legacy Division" and use the "Search" icon to open a new window. Find the Custodial Services Legacy Division with Search.

  3. Click the "Add" icon in the "Search Results." Click "Done." This will close the window and populate User Criteria.

  4. In "Advanced Criteria," go over the following sections to ensure accurate data is retrieved:
    1. Training Title - Search for CW 101, CW 121, CW 123, and CW 170 (Report is generated for EACH)
    2. Transcript Status - Tick the box
    3. Equivalent Training - Tick the box
    4. ILT Training - Must have radio button selected for "Events and Sessions."
  5. Training Title must be searched. Use the "Search" tool to find the compliance course of your choice by entering the course number as a keyword search.  

  6. Click "Add" icon from the Search Results. The window will close and the course title will populate in the "Training Title" field.
  7. Click "Search."

Exporting the Reports

  1. Scroll to the area under the pie chart "Export to Excel." 
  2. Repeat search for all other core compliance reports
  3. Combine data from reports - be sure to leave out pie charts.
  4. Send email to current Training Manager and Senior Data Analyst with attached spreadsheet of combined data.

Tip

The training tab in the Reports screen has a ton of useful reports that might help when locating specific and detailed transcript information. Explore these when you are requested to look for specific training that is tracked on UTLearn.

Best Practice

Custodial Services Department ID #: 4500007. Enter this number in the ID field to quickly find Facilities Services Custodial Services. Failure to identify the correct department will result in bad data. That is a mega no-no.

Combining data from all four core reports helps the Data Analyst who will in the next step add crafts, date of hire, and job title. This information is turned into a data visualization that will assist trainers in compliance training set-up.
