There are multiple options for disbursing participant incentives for research project's. The disbursement method is based on the projects approved IRB. The compensation section must specifically list the amounts and type (cash, gift card, other) of incentive to be issued. Please make sure your IRB is active during the duration of your study. If your IRB is scheduled to end, incentives can only be provided during the approved dates.

Incentive Disbursement Options: The table below list the different options available for disbursement depending on the incentive type.

Cash:

  • Participant Cash Advance:  Cash advances act as a loan from the university to the requestor. Student's cannot be a requestor. Funds can be issued either via check or direct deposit. A promissory note will need to be signed prior to issuance of funds. A request needs to be submitted 7 business day's prior to date needed. No more than 2 cash advances at a time are allowed per project. A cash advance can be issued for up to 6 months time or the end date of a project, whichever comes first. 

Gift Card:

  • Participant Cash Advance: The cash obtained from the advance can be used to purchase in-store or online gift cards for study incentives. Must keep receipt of purchase to use for reconciliation. 
  • Tango: Electronic gift cards sent to individuals via link to their email address. Please reach out to your account manager for account set up with Tango. Other:

  • This is dependent on your study. If your study will not provide cash or gift cards, please contact your Post-Award Specialist for guidance. 


Documentation:

All participants receiving study incentives regardless of disbursement method are required to sign a UT approved receipt form. You may utilize the Individual Receipt Form or the Multiple Receipt Form. Both are acceptable. The receipt form shows acknowledgement of the incentive by the participant. NO form substitutions are acceptable.

NOTE: The ONLY exception for receipt documentation are Internet Studies with incentives of $25 or less. Please contact your Post-Award Specialist for guidance regarding proper documentation for this.
