How to Approve Documents (Metadata Approval)

After you migrate a document into the vault and release it from Quick Change status, it needs to be reviewed and approved.
This is done by a person who has been assigned as a Metadata Approver. They will review the properties assigned to the document
to ensure they are correct and match the document that has been migrated into the vault.

     1.  Launch Meridian and select the vault containing the documents that need approval.

How to Open or Change the Vault

     2.  Change the vault View to Metadata Review.
          You currently can choose from three different types of views:
                                    1. Metadata Review (Building) - Shows documents by building name
                                    2. Metadata Review (Doc Class) - Shows documents by document classification
                                    3. Metadata Review (EID) - Shows documents by the person's EID (or name)
         
          For purposes of this tutorial, we will be using Metadata Review (Building).

    3.  Select and expand the Building folder that contains the documents to approve.
        - Click on the plus sign to the left the folder to expand it.


    4.  Select and expand the Document Classification folder that contains the documents to approve.
         - Click on the plus sign to the left the folder to expand it.


     5.  You will want to have the Viewer open when doing Metadata Reviews so that you don't have to open each
          document individually to review.

    6.  Select the document you want to review.


   6. You will want to have the Viewer on so that you can review documents without having to open them
        up individually.


    7. If you need to edit the document properties before approving it,
         follow the How to Edit Document Properties instructions.

    8.  Once the document has been reviewed and/or edited, approve the Metadata.
         a. Right-click on the approval document.
         b. Click on Approve Metadata
         c. When the comments box appears, enter comments if needed.
         d. Click on Yes if All Property Values for this Document are Correct.









    9.  The document will then disappear from your list of documents to approve.

    10.  If you want to see the Metadata History for the document:
          a. Search for the document in your Find toolbar at the top.
          b. Open the Properties window.
          c. Click on the Metadata History Tab
          d. Your comments, the date the document was reviewed, and your name will be listed under Metadata Quality Review.
